BrainCrumb (“we,” “us”) is a capture app: it helps you save fleeting thoughts as text, voice, or photo, enriches them with context, and hands them off to the tools where they belong. This policy explains what data BrainCrumb collects, how it is processed, and the choices you have. It applies to the BrainCrumb iOS app, the web dashboard at captures.braincrumb.app, and this website.
Data we collect
- Account information. When you sign up, our authentication provider, Clerk, collects your email address, name, and sign-in credentials on our behalf.
- Your captures. The content you choose to save: text notes, voice recordings, and photos.
- What your captures become. Captures are filed into records you can see and edit: contacts (including the names and contact details of other people you choose to save), calendars and events, to-dos, expenses, health and time logs, saved links, and notes. If you subscribe a calendar to a feed, we store that feed’s address, which may be private.
- Optional context, attached at capture time. With your permission on iOS, each capture can include your location, the local weather, your motion state (for example walking or driving), and the titles of calendar events happening at that moment. Each of these depends on a system permission you grant. Deny the permission and that context is never collected. In the web app, a capture includes your location only if you switch that setting on and your browser allows it.
- Optional location for a paired device. If you switch on the option that gives captures from a ring or other sensorless device a place, the iOS app sends your phone’s position to our servers from time to time, including in the background. It is off unless you turn it on.
- The iOS beta waiting list. If you leave your email address on this website, we store it to send you the beta invitation and for nothing else.
- Basic service data. Timestamps, sync state, and the technical logs ordinarily generated by operating a web service.
We do not collect advertising identifiers and we do not track you across other apps or websites.
How your data is processed
- AI processing. Captures are processed by Cloudflare Workers AI running on Cloudflare’s infrastructure: voice recordings are transcribed (Whisper), captures are classified into one of thirteen categories (for example contact, event, to-do, idea, note, or link), and text embeddings are generated to power semantic search. We do not use your captures to train AI models.
- Storage. Structured data (captures, transcripts, context metadata) is stored in Cloudflare D1. Photos and voice recordings are stored in Cloudflare R2. Search vectors are stored in Cloudflare Vectorize.
- Authentication. Sign-in and session management are handled by Clerk.
- Weather. To attach the weather, the iOS app sends the coordinates of the capture (not its content, and not your account) to Open-Meteo, a weather service.
- Maps. The web dashboard’s map loads its background images from OpenStreetMap. Your browser asks OpenStreetMap for the area you are looking at. To name the street where a capture was made, BrainCrumb's server sends OpenStreetMap's Nominatim service that spot, rounded to about 110 metres, and never the capture's words or who you are. This happens only for a capture saved with its place and no place name, and you can turn it off in Settings, under Capture context.
- Saved links. When you save a link, our servers fetch that page to read its title, description and picture. The site you saved sees a request from our servers, not from you.
- Email delivery and payment. If you set up an email destination or a digest, those messages are sent through Resend, an email delivery service, which receives the recipient address and the message. If you subscribe to a paid plan, payment is handled by Stripe, which receives your email address and payment details; we never see your card number.
- Destinations you set up. If you add a routing rule, the captures it matches are sent to the webhook, CRM or email address you entered.
What we don’t do
We do not sell your personal data. We do not share your captures with third parties for advertising or marketing. The only third parties that touch your data are the service providers named above (Cloudflare and Clerk for everything; Open-Meteo, OpenStreetMap, Resend and Stripe only for the features described there), acting so the product can function, and the destinations you yourself set up.
Exports and handoff
When you hand a capture off (saving it to Contacts, Calendar, or Reminders, or exporting it as vCard, ICS, CSV, JSON, or Markdown), the exported copy lives in the destination you chose and is governed by that system, not by this policy.
Retention and deletion
Your captures are retained until you delete them. You can archive or delete individual captures in the app or the web dashboard at any time. A capture you delete on the web waits in Trash for 30 days, where you can restore it, and is then erased. You can delete your account and all associated data yourself, at once, in the web dashboard under Settings. You can also email hello@braincrumb.app from the address on your account and we will delete it within 30 days. Deleting your account erases what our servers hold. Your sign-in identity is held by Clerk and is removed separately; email us and we will remove it. A copy kept on your phone by the iOS app stays on that phone until you delete the app or its data.
Your rights
You can request a copy of your data, correct it, or have it deleted by emailing hello@braincrumb.app. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA; we honor those requests regardless of where you are.
Children
BrainCrumb is not directed at children under 13, and we do not knowingly collect personal data from them. If you believe a child has provided us data, contact us and we will delete it.
Changes to this policy
If we make material changes, we will update the effective date at the top of this page and, where appropriate, notify you in the app or by email.
